The Events module in PAC Classic is an essential tool for PAC managers to track and manage disbursement requests efficiently. By following these steps, you can streamline your disbursement approval process and maintain organized records of events:
Step 1: Enabling Events
- Accessing Admin: Go to the Admin tab.
- Display Preferences: Scroll down to Display Folders.
- Enable Events: Check the box next to "Events" to display it on your toolbar.
Step 2: Adding Events
- Access New Event: Click on "New Event".

Enter Details:
- Event Name: Provide a name for the event.
- PAC Account: Link to the related PAC Organization.
- Date: Enter the date of the event.
- Hours of Event: Specify the duration.
- RSVP Date: Deadline for RSVP.
- Event Type/Category: Categorize the event.
- Participants: Document attendees.
- Requested Amount: Enter the requested amount.
- Election: Specify the election cycle.
- Venue Address: Provide the event venue's address.
- Approval Status: Set as pending, approved, or denied.
- Approved By: Name of the approving authority.
- Approved Amount: Approved funding amount.
- Notes: Additional notes about the event.
Step 3: Event Approval Process
- Utilize Pending Approval Reports for initial approvals.
- Use Permission Groups for user-based approvals.
- Implement multi-layered approvals if required, using Event UDFs.
- Manually approve or deny requests or use the Batch Approval process.
Step 4: Event Queries
- Find disbursed events by checking the "Disbursed" field.
- Search for approved but not disbursed events by checking the "Approved" and "Not Disbursed" boxes.
Step 5: Creating Disbursements
- After locating approved events, create disbursements from the Event profile.
- Add necessary details and submit the disbursement.
Step 6: Event Reports
- Run reports to manage pending events.
- Customize reports based on your approval process and requirements.

Once those credentials have been provided by Coalescent, contact PAC Support at pacsupport@quorum.us to complete integration with Quorum . You do NOT need to provide your Coalescent login credentials to Quorum. Our Support team will just need to know the following:

Which PAC Coalescent Events will be imported into (if you have multiple PACs)

What email address to send email confirmations to each time the import process runs
